Outlook analysis

Hi Guys,

Would like some opinions from any of you about the following scenario -

Exchange Server with an employee mailbox only 350mb in size
The users Outlook mailbox has cached exchanged mode disabled (No OST present)
User has a 9GB archive.pst stored locally with up to date email items
User has an outlook.pst stored in their My Documents folder which is about 2GB in size with up to date email items.

Im trying to work out how this outlook.pst ties into the mailbox. I thought if cached exchanged mode was disabled all mail is stored on the server and nothing locally?

Hi

Are both PSTs for the same email address? If I recall, you can set certain versions of Outlook to autoarchive every x-days and move/delete the archived emails. Could that be the source of your updated archive.pst? Also, the outlook.pst could be from another email account - possibly a POP/IMAP account?

You may have to check the email settings to see what they are - how many accounts and their respective datafiles.

You write that you found two PST files.

Disabling local cache does not disable export and archive features of Outlook.

Both can and will generate PSTs of mail from the server, through Outlook client.

Both PST's are indeed for the same email address. I was thinking the same thing re the auto archive pushing out items to the archive.pst. Which left me wondering how and why the outlook pst contained 2GB worth of current up to date email compared to the live exchange mailbox.

What is the mailbox size policy on the Exchange server? If it is say 500 GB, that policy would force a user to backup their mailbox rather than using it like a file server. If they send and receive a lot of mail with attachments they may have to archive frequently.

Unfortunately we do not have that information about the Exchange policies available to us. We have been told by our client that the auto-archive prompt came up almost monthly which he closed down without allowing the archive to occur.
